The purpose

Learn together without treating an organization’s data as payment.

We want to understand one real workflow, identify the smallest useful improvement, and test it with the people who do the work.

The partner retains control of its information. No identifiable public case study is created without separate, explicit permission.

A strong fit

The pilot works best when the problem is specific and someone can own the result.

A Louisville-area nonprofit or community organization with local control of the workflow
Roughly 5–50 staff, or a volunteer operation with comparable coordination needs
A sponsor and a person who owns the workflow day to day
One repeatable administrative process with visible friction
Low-sensitivity, synthetic, or appropriately redacted information for discovery and testing
A willingness to test, give feedback, and own the result after handoff

What the work may include

A complete, bounded discovery cycle.

Fit and risk screen, working charter, and kickoff
Interviews and consensual observation of the current work
Workflow, ownership, tool, and license maps
A practical baseline and ranked improvement opportunities
A low-risk proof of concept when a build is justified
User testing, an SOP, training, rollback guidance, and handoff
A short impact report plus access removal and data closeout

Safety boundaries

Some work does not belong in a discovery pilot.

We keep the first engagement low-risk and narrow enough to understand, test, and reverse.

Protected health information, work involving minors, or emergency operations
Payment processing or financial-account access
Mass donor outreach or access to donor and volunteer records
Full CRM, case-management, or enterprise-platform replacement
Enterprise migration or open-ended operational support
